During the spring, Microsoft has launched several updates for SharePoint and Teams that impact how organizations collaborate, automate, and manage their content—especially considering the growing role of AI. Here is a summary of the most relevant news for Cognit’s customers.
SharePoint Agents and Smarter Knowledge Management
SharePoint now acts as a central source for Copilot and enables the creation of so-called SharePoint agents directly linked to your own information. These agents can help users quickly find accurate information and act as subject matter experts, with control over access and usage. The integration between SharePoint, Copilot, and Teams has deepened, providing new opportunities to leverage AI in everyday workflows.
Simplified Collaboration and Sharing
File sharing has become easier and more secure with the new “hero link” concept, where each file receives a unique link that can be shared and have permissions adjusted with just a few clicks. Copilot can now also create automatic summaries of documents to include when sharing, reducing the risk of misunderstandings between team members. There are also new features for editing permissions on multiple files simultaneously and sharing links directly from the browser’s address bar.
Automation, Approvals, and E-signature
SharePoint has improved its automation capabilities, including making it easier to implement approval flows for documents—now also directly in Teams and Word. AI-based metadata tagging has become more affordable, making it easier to structure large volumes of documents. E-signature is now integrated, so contracts and other important documents can be signed digitally without leaving the Microsoft 365 environment.
Improved Page Builder and New FAQ Module
With the new AI-driven page builder, it is easier to create and customize pages in SharePoint, for example for intranets or news feeds. A new FAQ web part makes it easy to automatically generate and publish frequently asked questions based on existing documents or meeting notes.
Security, Governance, and Backup
SharePoint Advanced Management, now included for organizations with Copilot, provides improved oversight of permissions and helps prevent accidental exposure of sensitive information. New tools for backup and archiving make it easier to restore files and manage storage costs efficiently.
Integration with Teams and Power Platform
The connection between SharePoint and Teams has been further strengthened, especially when it comes to building and using custom agents. Integration with Power Platform means that automation and AI can be applied to even more workflows, both inside and outside of SharePoint.
