What’s new
Microsoft is launching Knowledge Agent for SharePoint in Public Preview. The feature uses AI to structure and enhance content so that Copilot gets better context. This includes automatic metadata, smart views, and simpler rules/automation—directly in SharePoint via a new button in the bottom-right corner. For organizations using Copilot in Microsoft 365, this can reduce manual work and deliver more accurate, traceable answers. The benefits are also noticeable in Teams when Copilot retrieves and summarizes materials from SharePoint.
Why it matters to you
Many Copilot initiatives falter due to unstructured content. Knowledge Agent addresses this by suggesting metadata, keeping pages up to date, identifying broken links, and facilitating the archiving of outdated pages. For business teams, it enables faster filtering such as “policies expiring in 2026” or “contracts by customer” without building manual lists. For governance and compliance, labeling and admin controls improve hygiene and traceability, reducing the risk of incorrect AI responses.
How it works in practice
In document libraries, the agent can suggest fields and populate metadata based on content, create views, and build simple workflows via natural language—for example, getting alerts for new invoices above a certain amount. On pages, it can suggest layout, sections, and FAQs, and help clean up and improve sites. Microsoft is also announcing “metadata reasoning,” enabling Copilot to better distinguish between similar documents—something that can improve the quality of answers both in SharePoint and in Teams conversations where Copilot summarizes files.
Availability and licensing
Public Preview requires a tenant-level opt-in and a Microsoft 365 Copilot license. IT can enable it at the tenant level and exclude specific SharePoint sites. Starting November 1, it will also be possible to opt in at the site level for a more controlled rollout. Details on licensing at general availability will follow, according to Microsoft’s timeline toward GA in early 2026.
